SUMMARY:
Reports to the Director of Learning Services-Equity & Success and works under the direction of the Language Instruction for Newcomers to Canada (LINC) Co-ordinator. Performs confidential and non-confidential secretarial and instructional services in support of the LINC program.
DUTIES:
1. Registers and maintains computerized database of student attendance, placement and records. Monitors attendance and produces monthly registers. Co-ordinates admissions with childcare staff when applicable by contract. Collects monthly instructors’ reports for administration.
2. Conducts LINC student on-boarding sessions to assist students with accessing on-line LINC classes.
3. Prepares a wide variety of correspondence, memos, forms, monthly class registers, student certificates and some classroom materials, and monitors the LINC e-mail account.
4. Performs LINC receptionist duties. Liaises with Assessment Centres and Employment Insurance Office regarding students. Responds to a wide variety of external and internal inquiries both by telephone and in person.
5. Contacts students regarding admission and attendance. Extensive communication skills are required to assist adult students and their families whose English language skills are minimal. Assists students with referrals to outside agencies and further education to assist their resettlement.
5. Assists classroom instructors with student computer sessions; assists with audio-visual equipment, and occasionally with material preparation such as wordprocessing, photocopying, laminating, bookbinding.
6. Makes arrangements for class field trips, guest speakers, and special events.
7. Assists with ordering and distribution of books and supplies. Monitors and maintains audio-visual equipment and special classroom resources.
8. If a second location is contracted, monitors routine conditions and assists in contact and cooperation with staff and policies at that location.
9. Screens visitors and monitors internal/external activity during evening sessions.
10. May provide minor first aid treatment (evenings).
11. Remains current with changing technology, practices and equipment.
12. Performs other related duties as assigned.
QUALIFICATIONS:
Successful completion of a secondary school graduation program or equivalent. Completion of post-secondary secretarial or office procedures courses equivalent to a minimum of 6 months.
A minimum of 6 months of training or recent experience specific to education, adult training or work with immigrants, or equivalent combination of training and experience. Experience with word processing, database, spreadsheet applications, internet searching and email.
Knowledge and aptitude for learning new computer programs including internet and English language programs.
Ability to work independently with minimal supervision and handle a wide variety of detailed clerical work quickly and accurately following the LINC guidelines with frequent interruptions.
Ability to work independently and cooperatively while following the direction and guidance of the classroom teacher.
Excellent interpersonal, communication and organizational skills required. Ability to use judgement and tact when providing information. Desire and capability to work with adult immigrants.
Ability to set priorities and to meet deadlines.
Ability to operate a wide variety of office and classroom equipment.
Physically capable of performing the duties of the position.
Knowledge of WCB and WHMIS regulations. Safe work practices.
Knowledge of another language (e.g. Punjabi, Hindi, Spanish or Cantonese) is an asset.
