The Catholic Independent Schools of the Vancouver Archdiocese (the CISVA) operates 46 schools – 40 elementary and 6 high schools. JOB DESCRIPTION
St. Edmund’s Elementary School is seeking an organized and detail-oriented Bookkeeper to join our team. The successful candidate will become a valued member of our collaborative school community. This is a part-time position (2 days per week, 0.4 FTE).
Qualifications and Skills:
- Bookkeeping experience or training in accounting (minimum 2–3 years preferred)
- Strong working knowledge of Excel and Sage 50
- Experience with online payroll processing (e.g., Payworks)
- Familiarity with accounts receivable (PAD) and accounts payable (EFTs)
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Effective communication and interpersonal skills
- Ability to work independently with initiative, discretion, and confidentiality
- Positive, team-oriented attitude and willingness to work closely with the School Accountant
Key Responsibilities:
Receipts & Deposits
- Prepare and process deposits for school general and fundraising accounts
- Record tuition payments, student fees, PAD transactions, and other collections
- Maintain accurate records of all incoming funds
Disbursements
- Prepare invoices and reimbursement documentation for approval
- Record transactions in Sage 50
- Prepare EFT and cheque payments with appropriate supporting documentation
Payroll
- Prepare payroll spreadsheets and process payroll through an online system (e.g., Payworks)
- Set up new employees and maintain payroll records
- Reconcile payroll reports and assist with ROEs as required
Student Tuition & Fees
- Maintain tuition and fee spreadsheets (registration, curriculum, activities, etc.)
- Track PAD authorization forms and payment schedules
- Reconcile tuition accounts and prepare annual tax receipt information
General Accounting & Administration
- Reconcile bank and credit card statements
- Maintain organized financial records and filing systems
- Assist with financial reporting and audit preparation
- Liaise with the school office staff, parents, and vendors as needed
