About the Position:

The Financial Services Coordinator supports the finance management team in ensuring that the district’s financial transactions are recorded accurately and that systems are in place to efficiently capture financial information. Specifically, the Financial Services Coordinator oversees the month end accounting procedures, supports fee payment software and other ERP system usage and supports contract management flowing from the district’s purchasing guidelines.

Core Responsibilities Include:

  • Month End Accounting:
  • Reviews trial balances and related transactions for accuracy and follows up with resolving accounting discrepancies.
  • Leads the completion of the bank reconciliation and reconciles other balance sheet accounts including payroll and benefits.
  • Creates monthly, quarterly and annual accrual, prepaid and deferral entries in keeping with generally accepted accounting principles.
  • Advises district and school accounting staff on journal entry creation.
  • Prepares monthly journal entries for school charge backs and other shared costs.
  • Financial Analysis
    • Oversees the budgets and reporting of various Special Purpose Funds.
    • Produces cost analysis on various educational initiatives to show impact on budget.
    • Assists Manager of Financial Reporting and Analytics with monthly tracking of expenses and trend analysis.
    • Coordinates with internal stakeholders to collect financial information and ensure timely report submission.
  • System Support
    • Supports schools with fee management software setup and maintenance.
    • Assists departments with fee collection tracking (Tuition, bus fees).
    • Maintains integrity of transfer of financial information from fee software to primary ERP system
    • Troubleshoots issues related to software setup including liaising with software providers.
  • Contract Management:
    • Advises departments on establishing service contracts with independent contractors.
    • Establishes and maintains contract renewal system.
    • Researches issues to support departments with preparing RFPs (Request for Proposals)..
    • Works with other School Districts in cooperative purchasing initiatives (EDCO, Focused Education).
    • Provides guidance to schools to ensure district’s purchasing policies are adhered to.
  • Other Duties
  • Advises school accounting staff on financial best practices and participates in periodic reviews of school procedures with Manager of Finance.
  • Establishes formal or informal training programs where appropriate.
  • Participates in regular reviews of controls and contributes to continual improvement of risk management practices.
  • Creates and maintains good file structure for financial schedules, contracts and supporting documents.
  • Prepares financial presentation material for committee meetings and distribution.
  • Assist Managers of Finance and Financial Reporting & Analytics as required.

Salary Range: $74,131 - $92,664, commensurate with experience.

Skills, Knowledge, and Abilities:

  • Advanced skills in Excel and other software with the ability to automate routine tasks.
  • Analytical thinker, flexible problem solver with ability to multi-task several important priorities simultaneously.
  • Strong knowledge of finance and accounting automated systems.
  • Ability to work in a finance team or independently with minimal supervision.
  • Excellent oral and written communication skills with strong presentation, communication and interpersonal skills across all functions and levels of management.

    Qualifications:

  • A professional accounting designation CPA (CA, CGA or CMA) or nearing completion of a CPA designation.
  • 3 years of full cycle accounting experience including preparing working papers for year end audit.
  • Related experience in purchasing, contract administration, integrated general ledger systems.
  • Previous experience in a BC school district and/or knowledge of PowerSchool ERP Atrieve is an asset.
  • Demonstrated ability and experience in interacting with all levels of management.
