Summary

Under the direct supervision and guidance of the Director of Human Resources, the Human Resources Coordinator, Support Staff coordinates and is involved with the human resource and labour relations services for employees that provide support staff services for the school district. This position works collaboratively with employees, management, and unions, and is the primary resource person for support staff employees.

The Human Resources Coordinator must be well organized with a high level of attention to detail, able to meet recurring deadlines and able to always ensure a high level of confidentiality. The ability to foster and maintain strong working relationships is critical.

Qualifications and Experience:

  • Diploma in Human Resource Management or equivalent.
  • A minimum of five years of related human resources experience or an equivalent combination of education, training and experience.
  • Certified Human Resources Professional (CHRP) designation is preferred.
  • Experience in a unionized environment, preferably in the public sector.
  • Experience in supervising others.
  • Valid B.C. Class 5 driver’s license; a driver’s abstract to be provided annually.
  • Must obtain and maintain a clear criminal record security clearance every five (5) years.

Skills and Abilities:

  • Knowledge of HR practices and procedures, specifically a working knowledge of school district operations, policies and procedures is preferred.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks, strong time management skills with a proven ability to meet deadlines.
  • Detailed oriented with strong organizational, administrative and management service skills.
  • Superior problem solving, presentation, training, and conflict resolution skills.
  • Sound judgement using discretion and diplomacy dealing with confidential and sensitive matters, a must.
  • Demonstrated ability to deal effectively with employees at all levels.
  • Able to build rapport and maintain a high level of confidence, trust, and integrity within the organization.
  • Ability to work independently with the appropriate level of initiative as well as co-operatively and collaboratively, with minimal supervision and instruction.
  • Proficient in Microsoft Office Suite, and other office related software such as SharePoint, Zoom and Teams.
  • Knowledge in HRIS and applicant tracking systems and the ability to grasp new technologies quickly.
  • Ability to create, maintain records and basic reports.

Duties include, but are not limited to:

STAFFING / RECRUITMENT:

  • Coordinates the employee life cycle such as recruitment, hiring, placement, and position changes for support staff positions, including:
    • Organize, prepare, post, award, and document postings
    • Communicate with employees, management, and union representatives on recruitment process
    • Participate in new employee orientation and onboarding
    • Organize, compose and distribute correspondence regarding support staff employment to relevant parties
    • Assist with external recruitment process for support staff

    LABOUR RELATIONS:

  • Interpret and apply collective agreement language and school district policies and procedures.
  • Provide guidance, training, and direction to management on support staff labour relations issues.
  • Assist with ensuring compliance with labor laws and regulations.
  • Research and prepare grievance and arbitration documents.
  • Participate in grievance meetings and prepare a complete and accurate record of information presented.
  • Prepare and maintain a database of all labour management meetings.
  • Assist with employee investigations when required.
  • Organizes information as needed and participates in the Joint Job Evaluation Committee.

ADMINISTRATION

  • Create and maintain personnel files for support staff.
  • Maintain HRIS database for support staff and develop and extract reports as needed.
  • Maintains seniority database for support staff.
  • Ensure support staff job descriptions and postings are current and accurate.
  • Prepare monthly HR/Payroll reconciliations for FTE reporting as needed and provide necessary information for yearly support staffing at the district level.
  • Liaise with payroll and finance to ensure accuracy of HRIS.
  • Liaise with payroll, the health and safety manager, and union representatives on employee absences and return to work rehabilitation/accommodation plans.

This is an exempt position with a salary range of $77,092 to $96,365 with a comprehensive employee benefits package. Placement in the salary range is determined by an assessment of qualifications and ability to meet the key requirements of the job.
